To execute all the required steps of the implementation, the implementation manager will need a detailed and structured implementation plan.
The plan will act as a guide to ensure each phase is carried out smoothly and in the correct sequence.
You can use the implementation plan provided below for completing all five steps of the overall process.

This sheet contains five sub-sheets, each serving a specific purpose during the implementation process.
Plan – This sub-sheet is used to fill in details such as customer information, data provided in MIS, documents shared with the customer, training dates, go-live dates, and all other information required to support the entire implementation.
Enhancements – In this sub-sheet, you need to record all feature enhancements required, the committed delivery dates, team dependencies (if any), and the final delivery timelines.
Tickets – This sub-sheet should include all SE/TO/SUP tickets that were created during the implementation process.
MOM (Minutes of Meeting) – This sub-sheet captures all meetings held with the client during implementation. You must add the meeting details along with the discussion points to maintain proper tracking.
Final SOW (Scope of Work) – In this sub-sheet, you must document all features, enhancements, and commitments made to the client from our end while signing the customer
Steps involved in Rentlz implementation process
Step-1 : New server creation
To start operations for any new client, you must first create a dedicated server. This setup is important because all client-specific configurations and workflows depend on it.
The server creation process includes a few basic steps like entering server details, setting permissions, and enabling required modules.

Step-2 : Profile and Data Creation
Once the server is created, the next key step is onboarding all required user profiles into the system.
These profiles include employees, vendors, cabs, transport team members, drivers, and other operational roles needed for the client.
Onboarding ensures every role receives the correct access, permissions, and configurations within the server.
Proper onboarding is essential for smooth operations, accurate workflow execution, and seamless coordination among teams.

Note : For the templates required for bulk approval of employee, vendors , drivers and cabs you can refer from the Ops table sheet which was given in step-3 . And for process you can refer the below given documentations.

Step-3 : Rentlz Config Setup
After the server is created and all required users are onboarded, the next step in the Rentlz configuration process is to collect and organize all operational details needed to set up the client’s environment.These details are critical for ensuring accurate bookings, proper workflow execution, and smooth system functionality.
At this stage, you need to gather the following information and fill in the sheet provided below.

The subsheets in the sheet are explained below :
Booking details - where you need to add the required fields needed in the booking creation page.
Marshall Configuration- Provide details about marshal features and required configurations of dark hours.
Manager Approval- This subsheet needs to be filled about the manager approval for a booking created and its required cutoff times.
Config and Cutoff time - Here you need to provide the cutoff times required for booking creation and booking cancellation also the role based cutoffs.
Email Notification- Here you need to fill the required email notifications to whom to send based on the Action ( for eg- Booking creation email, Booking cancellation email etc ) .
Vendor & Transport Profile - Here the details about the Transport team and Vendor details needed to be added along with all the given fields in the sheet.
Rate card - Fill the details of Ratecard if any contract has been mapped between the vendors.
Office Data- Here you need to add all the office details including the geo-codes of it.
Vendors Upload- Here you need to fill details like the vendor name, full address, Contact details etc.
Employee Data Bulk upload template - In this sub sheet add the required details about the employee, their role, and all additional fields in the sheet.
Vehicle Data Bulk Upload Template - Add all details of the vehicles whichever needed to be configured in the system based on the vendors.
Driver Data Bulk Upload Template - In this sheet you need to add the details of driver details , along with their driving license in order to configure in the system.
Each of these parameters directly influences how the system operates and how the client’s transportation processes function.
Step-4 : Training of Product to stakeholders
To gain a complete understanding of the Rentlz product and its functioning for all stakeholders employees, vendors, drivers, and Transport Managers you can refer to the provided documents.
These documentations explain the overall usage flow for each role and show how different users interact with the system during their respective processes.
The documentation clearly outlines the actions, responsibilities, and workflows associated with every stakeholder.

Step-5 : Testing and Go Live
